At twenty people, work lives in heads. At two hundred, it lives in twelve tools. Here is the pattern we see in almost every scale-up, and the three moves that reverse it.
Every growing team hits the same wall. The work that used to happen across one desk now happens across departments, time zones and a growing pile of tools.
The quiet tax of tool-switching
In our customer interviews, operators reported switching between an average of 11 apps to finish one cross-team request. Each switch is small. Together they add up to hours a week per person, and worse, to work that nobody can see end to end.
Move one: name your recurring workflows
List the things your team does more than once a month: launches, approvals, onboarding, month-end close. Most teams find between 8 and 15. Those are the workflows worth designing.
Move two: give each one a single home
A workflow needs one place where its status lives. Not a chat thread and a spreadsheet and a doc, but one board with the doc attached and the conversation on the card.
Move three: automate the handoffs, not the thinking
The best automations are boring. Move the card when the build passes. Ask finance to approve when the amount is over a limit. Remind the owner a day before the due date. Leave judgement to people.
Teams that make these three moves typically see status meetings shrink within a month, because the board already answers the question the meeting was for.
